Syncing Data at End of Route

Actions necessary to end the route in the DSD app.

Business Case

When a driver is finished his or her route for the day and has performed all actions necessary in the DSD app, they must “End Route” in the app.  The End Route button will sync all the data with Deacom and virtually ship each order using the main applications code for shipping sales orders.  This is an essential process in ensuring everything is synchronized with the main application and once the route is ended, the sales orders will display in the main application completely up to date based on the route driver’s actions.

Archiving DSD Receipts

  • Deacom can archive both the DSD invoice and the DSD End Of Route report. In the Sales > Options > DSD tab, there is an option to Archive DSD Receipts. With this option selection, a copy of the customers signature will be archived at the time it is captured and a copy of the DSD invoice is archived during the End Route process. The archived reports will be available through the "View Docs" function on the Sales Order.

Process

DSD Route Report

To see the number of orders shipped by the DSD Route, use the DSD Route Report. This report can be used while the DSD Route is active.

  1. Navigate to Sales > Order Reporting.
  2. In the Report Type field select ‘DSD Routes.’
  3. Click “View” to see all DSD routes. Note: it is important to select the critical fields to be shown on this report to provide the most important information.
  4. Use the filter field to select specific Ship Vias to see route specific information.

End Route

  1. In the DSD application, click on the Menu icon.
  2. Expand the File line.
  3. Click on End of Route.
  4. The system will ask if the End of Route report should be printed.
  5. Click Yes or No.
  6. The app will either print the End of Route report or bring you back to the order screen and “Start Route to view orders” will appear at the top with no orders showing.
  7. Click the menu icon.
  8. Expand the File line and Click Log Out.

Syncing data (Will occur automatically once route is ended)

The following items must be true before data can be synced:

  • Sales Orders should already exist in the system.
  • The Due to Ship date on the orders must match the day the route will be started.
  • Routes must already be planned.
  • Inventory must be available to be reserved or moved.
  • Inventory should be pre-staged to each Location.
  • The Route was started and orders shipped using the DSD app.

Once the above items have occurred:

  • The Route may be ended at a Facility while connected to Wireless Internet.
  • If the End of Route report is physically printed, a copy of that report will automatically be attached to the "View Documents" button of the Ship Via Method used on the route in the DSD application.

If any issues were encountered while saving or shipping orders, these issues will be displayed on the route results form. Clicking on the "Finalize Route" button will simply warn the user if there are any system prompts/errors*, log the user out, and clear any order data. This allows orders that encountered issues to still be saved in the system so that they can be shipped in the main Deacom application after inventory and other related issues have been resolved.

*Note: Beginning in version 17.01.071, if errors occur when using the End Route button, users will be presented with a better prompt containing detailed information on the errors together with the order numbers that contains the errors.
